Callbot is an AI assistant for businesses: it answers calls and messages, helps place calls the business asks for, keeps notes, tasks and tables, and can operate apps on the business's own computer. This page says what data that involves, where it goes, how long it stays, and how to delete it.
Who is responsible. Callbot is made by Wecomax (operator: Nikita Stukalov). Contact: hello@wecomax.com. For data that a business processes about its own customers (the people who call or write to it), the business decides why that data is used and is the controller; we process it on the business's behalf.
Replies, calls and summaries are produced by AI models. Where the law of the other person's country requires it (including Vietnam, the EU, the UK, South Korea, the US, Canada, China and Brazil, and by default wherever we are unsure), the first sentence of every call and chat says that they are speaking with an AI assistant, and it never denies being an AI when asked. AI can be wrong: check important information.
| Data | Why | Where it is kept |
|---|---|---|
| Account: name, e-mail, or the identifier from Sign in with Apple, Google or Telegram | To sign you in and keep your balance and settings | Our server in Singapore |
| Balance and usage: dollars credited, the cost of each AI request, model name | To charge for AI fairly and show you what you spent | Our server in Singapore |
| Audio and text of a call or chat while it runs | To understand and answer, in real time | Sent to the AI provider for that request; not stored by us on the server |
| Call summaries, transcripts, leads, notes, tasks and tables | So you can see what the assistant did | On your own computer or phone, not on our server |
| Anonymous product statistics (see below), which cannot identify you | To make the assistant better for everyone | Our server in Singapore |
| Location, only when you press "My location" | To show you on the map and plan routes | On your device; not sent to our server |
We do not sell data, we show no advertising, and we do not use your data or your customers' data to train AI models. The apps contain no third-party tracking.
To learn which way of speaking works best, each installation may send events such as: how a call ended (lead, declined, no answer), its length, at which step the other person hung up, the language, the country, the type of business, which script version was used, and error codes with the fix that worked. These events never contain phone numbers, names, e-mail addresses, business names, the words spoken, recordings or precise location; our server discards any field outside that list. The installation identifier is a random value, hashed on our server. Results are only used when they come from many installations together.
| Recipient | What for | Location |
|---|---|---|
| OpenAI | Real-time voice for calls and voice mode | United States |
| Alibaba Cloud (Qwen Cloud) | Text replies, summaries and low-cost voice | Singapore region |
| Hetzner Online | Hosting of our server | Singapore |
| Apple | Payments and subscriptions; we never see your card | Per Apple's policy |
| WhatsApp, Zalo, Telegram and other messengers you connect | Calls and messages go through your own accounts in those apps, under their terms | Per each provider |
These providers act on our instructions under data processing terms and may not use the data for their own purposes. API data sent to OpenAI is not used to train its models under OpenAI's API terms.
Our server is in Singapore. Using Callbot from another country therefore transfers data to Singapore, and voice requests are also transferred to the United States. We protect these transfers as each law requires:
In the app: Settings → Account → Delete account, then confirm. This removes your account, balance, usage history and settings from our server at once. If you used Sign in with Apple, we also revoke Callbot's access to your Apple ID. Data on your own devices is removed by deleting it there or deleting the app. Subscriptions are cancelled in the App Store, not by deleting the account.
Depending on where you live, you can ask to access, correct, delete or receive a copy of your data, withdraw consent, object to processing, or complain to your data protection authority (in Vietnam the Ministry of Public Security, A05; in Singapore the PDPC; in Hong Kong the PCPD; in the EU your national authority). Write to hello@wecomax.com; we answer within 30 days, sooner where the law requires.
When Callbot answers or calls the people your business serves, you are responsible for having a lawful reason to contact them, for obtaining any consent your country requires before marketing calls, and for following the rules of the messengers you connect. Callbot tells every caller that it is an AI. Ask us for a data processing agreement.
Callbot is a business tool, not directed at children under 16, and we do not knowingly collect their data.
We will post changes here and say in the app when something important changes.
